Service Adviser | Admin (Automotive)

In this position, you will be the first point of contact for our customers, managing service bookings, providing accurate information, and ensuring smooth administrative operations within the service department. Ideally, someone from automotive industry.

Responsibilities:

Workshop Coordination and Mechanics Support

  • Plan and organize work assignments for mechanics to ensure smooth workshop operations.
  • Maintain comprehensive records of completed work and job progress.
  • Track parts inventory and proactively order replacements to prevent delays.

Customer Service and Communications

  • Address customer inquiries and concerns promptly with professionalism and clarity.
  • Create a welcoming environment for visitors and foster positive customer relationships.
  • Gather mechanical issue details, provide accurate quotations, and direct customers to relevant personnel as needed.
  • Handle incoming calls and office emails with a friendly, efficient approach.

Equipment and Office Management

  • Ensure correct usage and upkeep of all tools and equipment.
  • Manage office supplies to guarantee readiness and efficiency.

Health and Safety

  • Maintain a clean, hazard-free workshop in line with OH&S regulations and the Health and Safety at Work Act.
  • Identify and control workshop hazards-such as manual handling risks, slips/trips, hazardous substances, and machinery safety.
  • Ensure proper PPE use, safe equipment practices, and adherence to safety protocols.
  • Report incidents, near-misses, and unsafe conditions; participate in routine inspections and safety reviews.

Administrative and Financial Operations using XERO

  • Perform accurate data entry and maintain up-to-date company databases.
  • Oversee accounts payable and receivable following company policies.
  • Assist with debtor invoicing-ensuring accuracy and timely dispatch.
  • Reconcile daily bank transactions using Xero software.
  • Conduct regular checks across business platforms to uphold data accuracy.
  • Manage credit applications and enforce debtor trade terms.
  • Investigate and resolve queries related to invoices and account statements.

What We're Looking For:

  • Proven experience in workshop or automotive administration.
  • Strong planning, organizational, and multi-tasking skills.
  • Exceptional communication and customer service capabilities.
  • Proficiency in data entry, email management, and familiarity with Xero or equivalent accounting systems.
  • Comfortable managing multiple platforms and databases.
  • Self-starter who can work independently and collaboratively.

Working Hours:

Mon to Fri, 7.30 am to 5 pm
